Payment Filtering and Search
What this feature does
The Payment Filtering and Search feature helps you find exactly the transactions you're looking for among all your payments. Instead of scrolling through hundreds of transactions, you can narrow down the list by date, payment status, payment method, or search for specific customers and reference numbers. It's like having a powerful magnifying glass that helps you locate the needle in the haystack.
Who it is for
This feature is valuable for:
Business owners reviewing specific time periods or investigating particular transactions
Customer service staff helping customers verify their payments or resolve payment issues
Managers analyzing payment patterns or preparing reports for specific date ranges
Accountants who need to isolate transactions by type or status for reconciliation
When to use it
You'll use the filtering and search tools whenever you need to:
Find a specific customer's payment: Search by the customer's name or email to see their transaction
Review a time period: Filter to see only today's payments, last week's revenue, or a custom date range
Check payment methods: See how much money came in through mobile money versus card payments
Investigate issues: Filter for only failed or pending payments to address problems
Prepare reports: Narrow down to specific dates and payment types before exporting data
Verify a transaction: Use the reference number a customer provides to quickly locate their payment
Key concepts
Date Range Filters
You can choose from convenient preset time periods or create your own:
Today: All payments received today
Last 7 days: A week's worth of transactions
Last 30 days: A month of payment history
This month: From the 1st of the current month until today
Last month: The complete previous calendar month
This helps you review performance over time or match your reporting periods.
Status Filters
Narrow your view to see only payments with a specific outcome:
All Status: Shows every payment regardless of what happened
Success: Only payments that completed successfully
Pending: Transactions still being processed
Failed: Payments that didn't go through
Use this to focus on transactions that need attention or to get accurate revenue counts.
Payment Type Filters
See transactions by how customers paid:
All Types: Every payment method combined
Card: Only credit and debit card payments
Cash: Only in-person cash transactions
Mobile Money: Only mobile wallet payments
This helps you understand which payment methods your customers prefer and how much comes through each channel.
Search Functionality
Type in the search box to find payments by:
Reference ID: The unique transaction number
Order Number: The order or booking the payment relates to
Customer Name: Who made the payment
Customer Email: The email address associated with the payment
The search works in real-time, showing matching results as you type.
Combining Filters
You can use multiple filters together for precise results. For example, filter for "Last 7 days" + "Mobile Money" + "Success" to see only successful mobile money payments from the past week.
Common questions
Can I search for payments by amount?
Currently, the search focuses on reference numbers, order numbers, and customer information. To find payments of a specific amount, use the filters to narrow your results, then look through the Amount column in the table. You can also sort by clicking the Amount header to arrange transactions from highest to lowest or vice versa.
Why don't I see any results after filtering?
If your filters are too specific, you might not have any payments matching all the criteria. Try removing one filter at a time to broaden your search. For example, if you filtered for "Today" + "Card" + "Failed" but see nothing, it might mean you haven't had any failed card payments today, which is actually good news!
How far back can I search through my payment history?
You can search through all your payment history from the day you started using Servinn. Use the date range filter to access older transactions. Keep in mind that if you have thousands of transactions, it may take a moment longer to load very large date ranges.
What's the difference between filtering and searching?
Filtering uses the dropdown menus at the top of the page to narrow your payments by category (date, status, type). Searching uses the text box to find specific transactions by typing reference numbers, order numbers, or customer names. You can use both together - for example, filter to "Last 30 days" and then search for a customer's name within that period.
Can I save my favorite filter combinations for quick access?
Currently, the filters reset each time you visit the Payments page. If you frequently need the same view, consider exporting that filtered data and keeping the file handy. You'll need to reapply your filters each session, but the process only takes a few clicks once you know which filters you need.
