Instead of taking screenshots or copying numbers manually, you can generate a clean, formatted document that includes all your charts, metrics, and data in one ready-to-share file. Key concepts
PDF Format PDF stands for Portable Document Format, which means the file looks the same on any computer or device. When you export to PDF, your report's formatting, charts, and layout stay exactly as they appear on your screen, making it perfect for professional sharing and printing.
Export Button Located at the top of your Reports page, this button triggers the download process. When you click it, your browser will generate a PDF of the currently displayed report type and date range.
Current View The PDF export captures exactly what you're currently viewing. If you're looking at the Venue & Sales Report for January 1–15, that's what gets exported. If you switch to Product Performance Report for the whole year, the PDF will reflect that change. This means you control precisely what information goes into each exported file.
Browser Print Dialog When you click Export PDF, your browser's printing system handles the creation. You'll see a print preview where you can choose to save as PDF (rather than sending to a physical printer), select which pages to include, and adjust settings before saving.
File Naming Your browser will suggest a filename, usually based on your report type and date. You can rename it to something more meaningful (for example, "Servinn-January-Sales-Report.pdf") before saving to make it easier to find later.
Charts and Graphics All the visual elements from your report—the graphs, charts, and color-coded metrics—transfer to the PDF, maintaining their appearance so your exported document is just as clear and professional as what you see on screen.
Common questions
Can I customize what appears in the exported PDF?
The PDF includes everything currently displayed in your report. To control what gets exported, first adjust your date range and select the specific report type you want (Venue & Sales, Orders, Products, Entry Points, or Staff) before clicking the Export button. Each report type needs to be exported separately if you want multiple reports.
Why does the export button trigger my printer instead of creating a PDF?
Most modern browsers let you "print to PDF" which saves a file instead of sending to a physical printer. When the print dialog opens, look for a destination option and choose "Save as PDF" or "Microsoft Print to PDF" instead of selecting a physical printer. The exact wording varies by browser and operating system, but the concept is the same.
How do I export multiple reports at once?
Currently, you need to export each report type separately. To create a complete monthly report package, select your date range, export the Venue & Sales Report, then switch to the Order Report and export it, and so on for each report you want. Each becomes a separate PDF file that you can keep together in a folder or email as a group.
What if the PDF doesn't look right or cuts off information?
When the print preview appears, check your page orientation and margins. Landscape orientation (wide) often works better for reports with charts. Also look for options like "Fit to page" or margin adjustments. If text or charts are still cut off, try zooming out in your browser before exporting, which can sometimes help fit more content on each page.
Where do my exported PDFs get saved?
They save to your browser's default download location, which is typically your Downloads folder. You can change this location in your browser settings, or you'll be prompted to choose a location each time depending on how your browser is configured. After downloading, you can move the file to wherever you keep business documents for better organization.
